Bitwarden Tip
Use Folders and Keywords:
Folders help organize your individual vault by grouping related items, such as Financial, Social Media, Worklogins, cards, identities, and secure notes. Folder Help
- Folders are listed alphabetically in the Bitwarden apps
- Items added to a folder will still appear when viewing all vaults
- Deleting a folder does not delete the items inside it
- Folders are personal to your vault (collections are used for organization sharing)
Using Keywords in Item Names
Adding clear, descriptive keywords to item names makes searching easier. For example:
- Rename an item to include a unique identifier
EMAILto distinguish email account credentials from other logins using the same address. Help - You can format names like:
Email Account - [email protected]To clarify the purpose of the entry. Help
This helps reduce confusion when the same username (such as an email address) is used across multiple accounts.
Searching with Keywords Basic search (available in all apps) checks:
- Item name
- Login username
- Login URI
- Card brand/last four digits
Searches automatically include leading and trailing wildcards. For example, searching mail will return gmail and email .
You can also:
- Search within a specific folder (only items directly in that folder).
- Use advanced field-specific search in the web app, desktop app, or browser extension (e.g.,
>login.username:jsmith) .
Best Practice
Combine both approaches:
- Use folders for broad categories (Email, Finance, Work, Social).
- Use clear keywords in item names for quick filtering and precise search results.
This combination makes large vaults significantly easier to navigate and maintain.
